Technology at DePauw: Welcome to the Start of Fall 2021

Welcome to the start of a new academic year!


This note offers updates about some items that we completed over the summer, info about resources for help with technology on campus, and quick tips for keeping your accounts and digital information safe and secure.

1.  Technology in Classrooms, Computer Labs, and Academic Buildings - Ready for Fall 2021


Over the summer, software in the 90+ technology-enhanced labs and classrooms was updated and refreshed for the start of classes.  You can find locations and details at Technology Labs and Classrooms.


As well, all classrooms that have courses assigned are equipped with videoconferencing kits that include a webcam on tripod and Jabra conference speaker for your laptop to use with Zoom or Google Meet.  FITS has created this brief introductory video for using these kits and information for instructions about remote or mixed teaching is available from FITS at Remote and Mixed Instruction.


If you are teaching in a technology lab or classroom this term, we encourage you to visit the room in advance to get familiar with it before the first day of classes. Members of the FITS team will be happy to visit the room with you -- Reach out to FITS@depauw.edu to arrange a time.


2. Campus Canon Printer/Copier Replacement - Fall 2021


During August and September, Information Services will be replacing the campus networked printer/copier fleet with new Canon devices. In addition to the current printer/copier functions (follow-me-printing and secure swipe-to-release, scan to email or USB, faxing in some locations, etc.), all of the new Canon printer/copiers will offer color printing, as well.

The new Canon printer/copiers will use the same PaperCut queues as before (canon_bw_papercut and canon_color_papercut) and will not require printer driver updates on your computer. Likewise, print/copy fees will not change.

Timeline:
  • During the week of August 16, the new public student-facing Canon printer/copiers will be installed and ready for students arriving on campus.
  • Beginning on September 7, new devices in university offices will be installed on a building-by-building schedule throughout the month. Watch for email with further details about the schedule
We worked with many offices throughout the spring and summer to understand their printing/copying needs, reviewed usage patterns from before COVID, and coordinated with Gordon Flesch Company (GFC) to identify device models for each location that align best with those needs. Ultimately, this right-sizing will expand capabilities (color printing for all!) while simultaneously reducing overall costs for the University.

3. Printing to Network Printers with PaperCut


PaperCut provides swipe-to-release printing, scan-to-email, print/copy chargebacks to departments, students print/copy quotas, and other functions. In addition, if you use more than one department budget account for Canon copy charges, you can charge print jobs to more than one account now, too.


  • To print on the Canon network printers, you install the PaperCut printers on your computer.

  • If you need to charge prints to more than one budget account, you must install the PaperCut Client, too.

4. Employee Email Distribution Lists


DePauw provides several distribution lists for groups of DePauw faculty and staff. Many of these are generated daily from the Human Resources databases, others are managed manually by individual offices, programs, or project teams.


The lists include:

  1. Employees@depauw.edu, faculty@depauw.edu and staff@depauw.edu email lists for official campus communications. Only specific senders are enabled to send messages to these lists.


  1. Discuss@depauw.edu email list, an opt-in, more informal list for sharing information and invitations and engaging in community conversations. All list members can send and receive messages through the list.

5. IT HelpDesk, ID Card Office, and Payment Services are now co-located in Julian



The IT HelpDesk, ID Card Office, Media Services, and the Desktop Support team have joined into a new unit called User Services. They’re a consolidated team that provides helpdesk and ID card services, desktop support, A/V support for campus events, maintains technology classrooms and teaching spaces, and offers audiovisual equipment checkout to students, faculty, and staff.


The HelpDesk and ID Card Office is located in the Julian Science and Math Building in Room 163 and is now co-located with Payment Services (formerly the Cash Receipts Office) who moved from the Studebaker Building to Julian during summer 2021.

6. Information Security – Watch Out for Phishing

 

Phishing is a scam that tries to trick you into disclosing personal or confidential information such as a username and password, social security number, date of birth, and/or credit card numbers. Most phishing scams are received through email, but they can also be in the form of a text message or phone call.


How to Recognize Phishing


  • The message appears to be from your supervisor or a high ranking campus member, but it doesn’t sound like their ‘voice’ or style. For example, the “President” writes to ask “can you call me right away?”

  • The email is unsolicited and asks you to confirm or provide personal information such as password, SSN, date of birth and/or credit card info. 

  • The email has an unusual From: or Reply-To: address.

  • The message has grammatical, spelling, or other editing errors.

  • The message contains a link to a website that looks real but doesn’t match the name of the organization it is claiming to represent.

  • The tone used creates a sense of urgency. For example, the sender may threaten to close your account if you do not respond or lure you with the promise of a large financial reward.

  • A file is attached that you are asked to open. Although it might look legitimate, the file may be a program that installs malware or viruses on your computer.

 

If you suspect you have received a phishing email, don’t fall for it! Instead, click the “Report spam” or “Report Phishing” button in your email and remove it from your inbox.  



7. Using WiFi – DePauwSecure and DePauwGuest

 

WiFi on Campus

There are two campus wireless networks: 


  • DePauwGuest is an open network provided for visitors to the University.

  • DePauwSecure is a private WiFi network for students, faculty, and staff. It provides enhanced security by encrypting data passed across the network.

 

Either of these networks will let you connect to DePauw resources (e.g., printers, network drives, e-Services, Box.com, etc.), but we encourage you to select DePauwSecure when you have the option.

If you plan to use WiFi heavily in a classroom (e.g., asking students to bring laptops to class, showing video clips from your laptop, etc.), let us know as soon as possible (by 8/19, ideally) by emailing HelpDesk@depauw.edu and we’ll help you pre-test to ensure you’ll have optimal coverage and bandwidth in the room.


8. Keeping in touch with Information Services at DePauw – Connections and Resources

FITS (Faculty Instructional Technology Support)FITS provides instructional technology support for using technology in teaching and research. Visit the FITS center on the lower level of Roy O. West Library. Email or call Veronica Pejril at fits@depauw.edu or x4389.


Tenzer Technology Center - The Tenzer Technology Center provides workshops, hands-on help, and a high-tech space where students can learn their technology, computing, and visualization skills. Email Mike Boyles and Laurel Tilton at tenzercenter@depauw.edu.

IT KnowledgeBase  – The IT KnowledgeBase provides a broad collection of answers, instructions, and downloads focused around DePauw-specific technology (e.g., “How do I change my e-Services password?,” “Where can I download the free antivirus software?,” “How do I connect to wireless?,” etc.)


Information Services Blog – Available 24×7, includes a blog, Twitter feed (@DePauwIT), and phone number (x6666) to provide notices about IT-related service announcements, known system issues, and other useful IT tips.
